5. Use of Artificial Intelligence Tools in Service Delivery
As part of delivering our consulting, training, and implementation services, SharedIntel AI uses third-party artificial intelligence tools to conduct research, synthesize information, and develop strategic recommendations for our clients. This section describes how client information may be processed through these tools and the safeguards we maintain. How We Use AI ToolsIn the course of our engagements, SharedIntel AI may use third-party AI-powered tools for purposes including but not limited to researching client industries and operations, transcribing and summarizing meetings, organizing and synthesizing notes and documentation, developing strategic recommendations and deliverables, and drafting training materials and workflow documentation. The specific tools we use may change over time as the technology landscape evolves. We select tools based on their professional privacy standards, functionality, and suitability for client work. What Client Information May Be ProcessedThe following types of client information may be entered into or processed by AI tools in the course of service delivery: meeting recordings and transcripts, names of team members and their roles, operational details shared during discovery and consulting sessions, workflow descriptions and process documentation, and other business information relevant to the engagement. The majority of information we work with is derived from our own independent research into your company and industry, which then forms the foundation for our consulting direction. This is supplemented by information shared directly by you during our engagement. Our Data Protection SafeguardsWe maintain the following practices to protect client information when using AI tools. All AI tools are used under professional or enterprise-tier accounts that include enhanced privacy protections. We disable all settings that would allow third-party providers to use client data to train or improve their AI models. We do not use free or consumer-tier AI accounts for client work. We limit the information entered into AI tools to what is reasonably necessary for the specific task at hand. All AI-generated outputs are reviewed by our team before being used in client deliverables. We periodically review the privacy practices and terms of the tools we use to ensure they continue to meet our standards.Meeting Recordings and TranscriptsMeetings conducted as part of our Services may be recorded and transcribed using AI-powered tools. At the beginning of every meeting, we inform all participants that the session is being recorded and transcribed. By continuing to participate in the meeting after this disclosure, participants consent to the recording and transcription. Meeting recordings are retained for a limited period (typically thirty days) to allow clients to access them, after which they are deleted. Transcripts and AI-generated summaries are shared with clients following each session.Third-Party Provider Data PracticesWhile we take the measures described above to protect client information, the processing of data within third-party AI tools is governed by those providers' own privacy policies and terms of service. SharedIntel AI selects providers that offer professional accounts with contractual commitments not to use customer inputs for model training. However, we do not control the infrastructure, security architecture, or data handling of these third-party services beyond the contractual protections available under our account agreements. If you would like to know which specific tools are currently in use for your engagement, you may request this information at any time by contacting us.Client Use of AI ToolsSeparately from our own use of AI tools in service delivery, our training and consulting may result in you and your team entering your own business data into third-party AI platforms using prompts or workflows we have provided. SharedIntel AI does not collect, receive, access, store, or process any data that you or your team enter into third-party AI platforms independently. Any data you input directly into an AI tool is governed entirely by that platform's privacy policy and terms of service. We strongly encourage all clients to establish internal policies governing what types of information may and may not be entered into third-party AI tools, particularly customer data, personally identifiable information, and proprietary business information.Your Rights Regarding AI ProcessingIf you do not wish for your information to be processed through third-party AI tools as part of our service delivery, you may notify us at contact@sharedintelai.com at any time.
